Scheduling a One-Crew Tree Service vs. a Multi-Crew Company

A one-crew tree service and a five-crew company schedule in very different ways. The owner-operator does it in their head between climbs, often from the cab of the truck. The larger company has someone whose whole job is the board. But the tools that help each are more alike than you might think, and the habits you build early decide how smoothly you grow.

Different Sizes, Same Basics

In Reducing Tree Service Cancellations and Not-Home Problems, we looked at preventing lost stops. Those habits matter at every size. What changes as a company grows is who does the scheduling, how much coordination it takes and how much information has to move from one person to another.

In a one-crew company, information moves from the owner's head to the owner's hands. In a multi-crew company, it has to move from the estimator to the scheduler to the crew leader to the customer. Every handoff is a chance for something to get lost, which is why the right habits matter more with every crew you add.

The One-Crew Company

The owner is the estimator, the climber, the crew leader and the office. Scheduling happens on the phone in the truck or at the kitchen table at night. The biggest wins here are automation and simplicity: automatic reminders and customer texts, estimates with online approval and automatic follow-up, card on file, and a job board that lives on the phone rather than on a whiteboard at home.

Keep consults on set days or times so they do not break up crew days. Use the route map to group work so the one crew you have is not driving all day. Set recurring jobs on every happy customer, because a one-crew company with a solid recurring base is far more stable than one living call to call.

Adding a Second Crew

The second crew is where most owners feel the strain. Jobs now have to be assigned to the right crew, and the owner cannot be at both job sites. Property records with number of trees, DBH, height and crew notes become essential, because the second crew leader needs the information the owner used to carry in their head.

The crew app gives each crew its own job list with the route, notes, gate codes and drop zones. Job categories and tags make it quick to see which crew should take which work. This is also the point where writing things down stops being optional; the second crew cannot read your mind.

When to Add an Office Scheduler

At some point the owner spends more time on the phone than in the field or on estimates. That is usually the time to add an office person to handle intake, scheduling, customer texts and billing. A shared job board means they see exactly what the owner sees, and two-way texting keeps customer conversations on the record instead of in the owner's personal phone.

A good intake checklist and clean property records make that hire productive much faster. A later guide in this series covers training a new scheduler in detail.

Running Multiple Crews

With several crews, the job board and categories become the center of the business. Assign work by crew skills and equipment, watch capacity in crew days, keep buffers for emergencies and storms, and route PHC to licensed applicators. Weekly reports on completed work by category show how each part of the business is doing.

The office's job shifts from booking appointments to balancing the board: making sure no crew is overloaded, no category is piling up and no customer is waiting longer than they were told.

Software Costs as You Grow

TreeBossPro plans are Start at $59/mo, Pro at $89/mo and Crew at $199/mo with unlimited users, and you are never billed per user. Adding a climber, a ground crew member or an office person does not add software cost, so the system grows with you instead of taxing every hire.

The habits you build with one crew, like recording property details, using categories and setting recurring jobs, are exactly what make growth smoother later. As the office grows, texting becomes one of the most useful scheduling tools, which the next guide covers. See the tools on the tree service scheduling software page.
