Reducing Tree Service Cancellations and Not-Home Problems
Few things hurt a tree crew's day more than arriving to find the customer changed their mind, the gate is locked, the car is still under the tree, or the job simply cannot go ahead. The crew drove there with the chipper, the time is gone, and there is often nothing nearby to fill the gap. Most of these problems can be prevented, and the rest can be handled much faster.
The Real Cost of a Lost Stop
The last guide, Tree Service Scheduling Reports: What to Review Every Week, recommended reviewing rescheduled and unfinished work every week. Cancellations and not-home problems are often the biggest part of that list, and among the most preventable.
A lost stop costs more than the job itself. It costs the drive, the setup, the crew's time while the office scrambles, and often the next job too, if the crew sits waiting for a decision. A few habits can cut these losses significantly.
Reminders That Set Expectations
Automatic reminders before each job remind the customer it is coming and tell them what is needed: gate unlocked, vehicles moved, pets inside, someone home if the job requires it. Clear expectations prevent most not-home problems, because most customers are not trying to cause trouble; they simply forgot or did not know.
Keep the reminder specific to tree work. A generic appointment reminder does not tell the customer to move the car parked under the oak. A good tree reminder does.
Confirmations by Two-Way Text
Two-way texting lets customers reply to the reminder to confirm or to ask for a change. A customer who needs to reschedule will often do it by text when they would never bother to call, and that gives the office a day's notice instead of none.
A quick reply also surfaces problems early: the customer who mentions the gate code changed, or that they are now planning to keep the wood. Those details go into crew notes before the crew rolls.
Ask for the confirmation directly when it matters. A short line such as "Reply YES to confirm Thursday" works well for big jobs or jobs where the customer must be home. The customers who do not reply are the ones to call before the crew rolls.
Prepayments for Large Jobs
For big removals, a prepayment or deposit signals commitment. Customers who have paid something are much less likely to cancel at the last minute or let another company slip in ahead of you. TreeBossPro applies prepayments to the final invoice, so there is no extra bookkeeping.
Card on file helps here too. A customer who has already set up payment has already committed to the process in a way that makes last-minute cancellations less likely.
Cancellations also drop when the time between approval and the visit is short. A customer booked for next week is far less likely to change their mind than one booked two months out. That is one more reason to schedule approved estimates quickly and keep the backlog under control.
Fill Gaps Fast When They Happen
Some cancellations will happen no matter what. When one does, look at the job board and route map for nearby flexible work: a pruning job, a stump grind or a PHC visit in the same area. Customers who told you at intake they are flexible are the first to text.
Keeping a few flexible jobs on the board at all times makes this possible. They are the reason a cancellation costs an hour instead of a day.
Learn From Every Lost Stop
Note why each job did not happen. Over a season, patterns appear: a certain kind of customer, a certain time of year, a missing step in the reminder, or a habit of booking before the customer has really committed. Fix the cause where you can, and update property notes so the same problem does not repeat at the same address.
Not every cancellation can be prevented, but most not-home problems can. How you handle them also depends on company size, which the next guide explores. See how reminders, texting and the job board work together on the TreeBossPro tree scheduling software page.
