Managing Cash Flow Through the Seasons in a Tree Business

Tree work does not pay evenly across the year. Spring and fall can be packed. A big storm can bring a flood of work in a week. Then winter, or a long dry spell, slows everything down while payroll, equipment payments, and insurance keep coming. Many tree companies that look profitable on paper still struggle because cash comes in lumps. Here is how to manage cash flow through the seasons.

Know Your Own Seasonal PatternThe 30-Minute Weekly Review for a Tree Business Owner helps you keep an eye on cash week to week. Seasonal planning takes the longer view. Look back at last year, month by month. When did revenue peak? When did it drop? How long did the slow stretch last?

Your pattern depends on your region, your service mix, and your customers. A company heavy on PHC and pruning cycles has a different curve than one living on removals and storm work. Know yours so you can plan for it instead of being surprised by it.

If you do not have good records from last year, start now. A single season of clean numbers in one system will tell you more about your pattern than years of guessing from memory.

Shorten the Gap Between Work and Payment The simplest cash flow fix is getting paid faster. Every day between finishing a job and collecting the money is a day you are financing your customer. Invoice from completed jobs the same day. Accept online payments so customers can pay from the invoice. Keep cards on file for repeat customers.

TreeBossPro handles all of that from one place, so the invoice goes out when the crew marks the job complete, not when someone finds time on the weekend.

Use Prepayments and Deposits Wisely For big jobs, especially removals from new customers, taking a prepayment before the crew starts protects your cash. It also filters out customers who are not serious. TreeBossPro supports prepayments, so the deposit is recorded and applied to the final invoice.

Some customers on recurring programs prefer to prepay for the season. That puts cash in the bank before the work starts, which is exactly when you need it.

Be consistent. Decide what size of job or what type of customer requires a prepayment and apply the rule every time. Customers accept a clear policy much more easily than one that seems to change from job to job.

Build Recurring Work That Spans the Year Recurring revenue smooths out the curve. Pruning cycles and PHC programs can be scheduled across the year, and with auto-billing they pay without an invoice chase. Dormant season pruning is a good fit for winter in many regions, giving crews work when calls slow down.

Even a modest base of recurring work helps cover fixed costs in the slow months.

Plan Big Purchases Around the Calendar Equipment purchases, truck repairs, and big insurance payments hit harder in a slow month. Where you have a choice, time them for after a busy season, when cash is strongest. Set aside a portion of revenue in the busy months specifically for the slow ones.

That sounds obvious, but in a good month it is tempting to treat all the money as profit. The slow season will come anyway.

Many owners keep a separate account for the slow season and move a set share of each busy month's payments into it. However you do it, make the reserve automatic so it does not depend on remembering.

Watch Unpaid Invoices Closely In a cash crunch, unpaid invoices are the first place to look. Check them weekly. Send reminders. Make sure customers can pay easily online. If a customer is consistently slow, ask for a card on file next time or require a prepayment.

Reports show what is paid and what is still out, so you never have to guess. To see how billing, payments, and recurring jobs work together, visit the tree service business software overview. A tree business that manages cash well can survive any season. One that does not can go under in a good year.

Make sure the invoice is clear, too. Many slow payments come from confusion: the customer is not sure what a line item means, or the invoice does not match what they remember from the estimate. Invoices built from the approved estimate avoid most of that.
