The 30-Minute Weekly Review for a Tree Business Owner

Running a tree company means living in the weeds, sometimes literally. Every day is full of calls, crews, equipment, and customers. It is easy to go months without stepping back to see the whole business. A short weekly review fixes that. Thirty minutes, the same time every week, the same questions. Here is a simple routine any tree business owner can use.

Why Weekly, and Why ShortWhich Work Actually Pays? Reading Your Tree Business by Job Category is about the bigger picture. The weekly review is about staying on top of things before they become problems. Monthly is too slow for a tree business. Too much changes in a month: weather, storms, crew turnover, estimates going cold.

Keep it short so you actually do it. A two-hour review gets skipped. Thirty minutes on Friday afternoon or Monday morning gets done.

Put it on the calendar like a customer appointment. Same day, same time, phone face down. If something urgent comes up, move it, but do not skip it. The value comes from doing it every single week.

Minutes 1 to 5: Money In and Money Out Start with cash. How much did you invoice this week? How much was paid? What is still unpaid, and how old is it? TreeBossPro reports show what is paid and what is still out, so this takes a few minutes instead of an evening.

Flag anything over a couple of weeks old. Decide who is following up and how. If the same customers keep showing up on the unpaid list, consider requiring a card on file or a prepayment for their next job.

Glance at prepayments as well. Make sure deposits taken this week are tied to the right jobs, so the final invoices come out right.

Minutes 5 to 12: Estimates and Leads Next, look at the pipeline. How many new leads came in? How many estimates went out? How many were approved? Which ones are sitting with no answer? Automatic follow-up handles routine nudges, but big estimates deserve a personal call.

Also check where new leads are coming from. If one source is drying up, you want to know now, not at the end of the season.

Look at consults, too. If several consults this week did not turn into estimates, ask why while the visits are still fresh in your memory.

Minutes 12 to 20: The Schedule Ahead Open the job board and scheduled list. How far out is the backlog? Are crews booked evenly or is one overloaded? Are recurring pruning and PHC visits on track? Is any weather or equipment issue going to force changes?

Use the route map to check that next week's days are sensible. If a crew is crossing town three times a day, rearrange before Monday.

Look for gaps, too. An empty Thursday next week is a chance to call customers with approved estimates that have not been scheduled yet, or to move up a recurring visit.

Minutes 20 to 26: Crews and People Look at the crew side. Check time tracking for crews that ran long. Review a few completed jobs and their photos. Look at any ratings or comments from customers. Think about each crew leader: anyone who needs help, a conversation, or recognition?

People problems grow quietly. Catching them in a weekly review is much easier than dealing with a resignation in the middle of storm season.

Note any equipment problems crews mentioned this week. A small repair scheduled now is far cheaper than a breakdown in the middle of a big removal.

Minutes 26 to 30: One Thing to Improve End by picking one thing to improve next week. Not five. One. Maybe it is calling three old estimates. Maybe it is filling in property notes for your top twenty customers. Maybe it is fixing the chipper before it fails.

Write it down and check it at next week's review. Over a year, that is fifty improvements to how your tree business runs.

The weekly review works best when everything lives in one place. To see how TreeBossPro brings the schedule, estimates, billing, and reports together, visit the tree service business software page. Thirty minutes a week is a small price for knowing exactly where your business stands.

Keep a simple running log of the weekly numbers and the improvement you picked. After a few months, that log becomes the best record you have of how the business is changing.
