Moving Your Arborist Client Records into Software with CSV Import

Most arborists who move to software already have years of client information somewhere: a spreadsheet, an old program, a stack of job folders, a phone full of contacts. The thought of re-entering all of it is enough to delay the switch indefinitely. CSV import removes most of that work.

Tracking Arborist Leads from First Inquiry to Booked Consult covered capturing new leads. This article covers bringing the clients you already have.

Start With What You Have

You do not need perfect data to start. Export what you have into a spreadsheet: client names, phone numbers, emails and service addresses are enough to begin. TreeBossPro supports CSV import, so a spreadsheet saved as CSV can bring your client list across instead of starting from zero.

If your data lives in an old program, look for an export option. Most systems can produce a CSV of customers, even if it needs some tidying.

Paper records are a different challenge. If your history lives in job folders, do not try to digitize everything at once. Import the client list first, then add notes from the folders for your most active properties. Older, inactive files can wait or stay archived.

Clean Before You Import

A few minutes of cleanup saves hours later:

Duplicates are the most common problem. A client who appears twice will split their history and may receive duplicate messages. Fixing them before import is much easier than merging afterward.

Pay special attention to clients who appear under both a personal and a business name, and to couples entered separately. Decide which record is the client and which details belong on the property, then make the spreadsheet match.

Think About Clients and Properties

In TreeBossPro, a client can have multiple properties. Property managers, landlords and families with a second home are common in tree care. When preparing your spreadsheet, make sure each property is a separate address under the right client, so each one can carry its own tree count, measurements, notes and service history.

Commercial clients and homeowners associations often have several addresses or common areas. Treat each significant site as its own property so measurements, notes and service history stay specific. One combined record for a large site quickly becomes impossible to read.

Fill In Tree Details as You Go

Your old records probably do not have DBH, height and tree count for every property. That is fine. Import the basics, then fill in the tree data and site notes as you visit each property. Make it part of every consult and every crew visit: check the record, update the numbers, add photos from the crew app. Within a season, your active clients will have complete records.

Prioritize. Start with clients on recurring care and those with upcoming jobs. They will benefit most from complete records, and they are the properties your crews visit most often. Occasional clients can be filled in when they next call.

If you do have some details in your spreadsheet — notes about access, a gate code, the tree you always prune — bring them across in notes or custom fields where they fit.

Set Up Recurring Work After Import

Once clients are in, set up recurring jobs for those already on pruning cycles or PHC programs. That is often the most valuable step, because it puts next season's work on the schedule immediately. Your old system may have tracked this informally; now it lives on the property.

Check the first few weeks of the new schedule carefully after setting up recurring work. It is easy to miss a client who was on an informal cycle, and the first season is the best time to catch those gaps.

Tell Your Clients

After import, clients will start receiving messages from your new system: reminders, on-the-way alerts, invoices. A short heads-up email or text telling them what to expect avoids confusion and introduces the customer app and portal.

Plan the switchover date. Running two systems in parallel for long causes confusion about which one is right. Pick a date, import, check the data, and move everyone — office and crews — onto the new records together.

Moving your records is the single biggest step in switching to arborist software, and CSV import makes it a matter of an afternoon rather than a month.
