Tracking Arborist Leads from First Inquiry to Booked Consult

Every arborist practice loses leads. A voicemail that is not returned for three days, a web inquiry that sat in an inbox, a text to the owner's personal phone that got buried. The client did not choose a competitor because the competitor was better. They chose whoever answered first.

Routing Arborist Consult Days: More Site Visits, Less Windshield Time covered routing consult days. This article goes one step earlier: getting inquiries onto the schedule in the first place.

Every Inquiry Is a Lead

The first rule of lead tracking is that every inquiry gets recorded, no matter how it arrives — phone, web form, text, referral at a neighbor's house. In TreeBossPro, inquiries become leads with the contact details and a description of what the caller needs. A lead on the record cannot be forgotten in the way a sticky note can.

Make lead capture someone's job. In a small practice it may be the owner; as you grow, it is usually the office. What matters is that every channel — phone, web, text, referrals — feeds into one place, and someone checks it every working day.

Capture the Right Information

A good lead record answers the questions you will need to book and prepare for a consult:

That last one matters. Knowing which channels bring you leads helps decide where to invest in marketing.

If the address is already in your records, note it. A returning property, even with a new owner, is a warm lead: you know the trees, the history and the access, which makes the consult faster and your recommendations sharper.

Respond Quickly

Response time is the single biggest factor in whether a lead becomes a client. Aim to acknowledge every lead the same day, even if you cannot book a consult immediately. A short text saying you received their request and will call to schedule is enough. Two-way texting keeps that conversation on the record so anyone in the office can pick it up.

After hours matter too. Many tree care inquiries arrive in the evening and on weekends, when homeowners are looking at their trees. An inquiry acknowledged first thing the next morning is in a far better position than one picked up on Wednesday.

Qualify Without Being Dismissive

Not every lead is a fit. Some callers want a price on a removal over the phone; some want work you do not do; some are outside your service area. Qualify politely. If a lead is not a fit, a helpful answer or a referral builds goodwill that comes back as referrals. If it is a fit, explain whether you offer a free estimate or a paid consult and book it.

Be cautious with phone pricing. Quoting a removal or a reduction without seeing the tree sets an expectation that the site visit may contradict. A range with a clear explanation that the final price depends on the site is usually fairer to both sides.

Book the Consult and Connect the Record

When a lead books, it becomes a client with a property, and the consult goes onto the schedule under the Consults category. The details from the lead carry forward, so the arborist arrives knowing what the caller described. If the property already exists in your records from a previous owner, the service history is there too — a strong start.

Send a confirmation when the consult is booked: the date, the window, and anything the client should prepare, such as unlocking a side gate or noting which trees they want you to look at. Prepared clients make for better consults.

Watch the Pipeline

Leads, consults, estimates and approvals form a pipeline. Review it weekly: how many leads came in, how many booked, how many estimates went out, how many were approved. A drop at any stage tells you where to focus. Slow response shows up as leads that never book; weak estimates show up as consults that never convert.

Lead tracking is not glamorous, but it is the front door of your practice. It is the first step in the arborist software workflow, from inquiry to lifelong client.
