Choosing Tree Service Software: Questions to Ask Before You Sign Up

By the time you're comparing tree service software, you probably know what isn't working. The whiteboard, the notebook, the missed follow-ups, the late invoices. The hard part is picking a system that actually fixes those problems instead of adding new ones.

The best way to choose is to ask specific questions, and then test the answers with your own customers and jobs. Here are the questions worth asking.

Does It Understand Tree Work?

In Tree Service Software Pricing: Why Per-User Fees Hurt Growing Crews, the focus was on how software is priced. Price matters, but fit matters more. Start with the basics: is this software built for tree work, or is it general field service software with tree jobs squeezed in?

Ask whether a client can have multiple properties, and whether property records hold tree details like number of trees, DBH and height. Ask where crew notes for access, gate codes and drop zones live, and whether the crew sees them in the field. Ask whether the job categories match your work: removals, pruning, stump grinding, plant health care, storm work and consults.

If you have to bend every field to fit, the crews will notice, and they'll stop using it.

Ask how storm weeks are handled, too. Can emergency calls be captured as leads quickly, sorted by priority and moved onto the board without wrecking the regular schedule? Storm week is when a weak system falls apart, so it's worth picturing your worst week while you look.

How Does Work Get Sold?

Ask how a phone call becomes a lead, how a lead becomes an estimate and how the customer approves it. Online approval and automatic follow-up on quiet estimates are two features that directly affect revenue.

Ask whether an approved estimate becomes a job without re-entering it. Every re-type is a chance for mistakes.

Ask how stump grinding gets tracked after a removal, and how leads from your crews — the declining tree they photographed on another job — make it back to the estimator. Those small handoffs are where most tree companies lose money, so they're where software should help most.

How Do Scheduling and the Crew App Work?

Ask to see the schedule the way you'll use it: a job board by crew, a scheduled list, a route map and auto-routing. Ask whether recurring jobs can handle pruning cycles and PHC programs.

Then look hard at the crew app. Does it show the job list, route, notes and gate codes? Can the crew start and complete jobs, take photos and send on-the-way and arrival alerts with a tap? Would your foreman actually use it? If you can, put it in a foreman's hands during the trial and watch.

What About Plant Health Care Records?

If you do PHC, ask how chemical applications are recorded. Look for products with EPA registration numbers, mixes, per-service records with product, rate and amount, and applicator license numbers, plus a report you can pull. Ask whether the system can send customers chemical instruction emails after a treatment.

Record-keeping rules vary by state, so check what yours requires and confirm the software captures it.

How Do Customers Hear From You and Pay You?

Ask about automated texts and emails, two-way texting and whether customers have their own app or portal. Can they see visits, view and pay invoices, keep a card on file, choose their alerts and see the crew on service day?

On billing, ask whether invoices come from completed jobs, whether sales tax is applied on the invoice, and whether card on file, auto-billing, prepayments and online payments are included. Ask what reports show you about jobs, revenue and unpaid invoices.

What Will It Cost, and How Fast Can You Start?

Ask how pricing works and whether you're billed per user. Ask whether there's a free trial, whether it needs a credit card and how you'll get your customer list in — a CSV import beats typing.

For TreeBossPro, the answers are simple: Start at $59 a month, Pro at $89 and Crew at $199, never billed per user, a 14-day free trial with no credit card and CSV import to bring your customers over.

The best test is the trial itself. Load real customers, schedule next week's jobs and put the crew app on a foreman's phone. If you want to see everything in one place before you start, go back to the tree service software overview that started this series, then try it with your own crews.
