Getting Paid on Schedule: Linking Tree Jobs to Invoicing and Card on File

Scheduling and billing are often handled by different people with different tools. The crew finishes a job, the ticket goes in a pile on the dash, and the invoice goes out a week later if someone remembers. Meanwhile the customer's enthusiasm for paying fades every day. Linking billing to the schedule means a finished job becomes an invoice right away and the money starts moving while the work is still fresh.

Billing Is the Last Step of the Schedule

In The Customer Portal on Tree Service Day: Live Crew Map, Visits and Alert Choices, we saw customers paying through the portal. This guide looks at the other side: how billing connects to the job itself, so nothing falls into the gap between a completed job and a paid invoice.

That gap is where cash flow problems start. Jobs that were done but never invoiced, invoices that went out weeks late, and customers who were never asked for payment all add up, and in a business with fuel, equipment payments and payroll every week, they add up fast.

Invoice From the Completed Job

When a crew marks a job complete in the crew app, the office can invoice from it. The details from the estimate and the job carry over, so nobody retypes line items or tries to remember what the crew agreed to on site. Invoices can go out the same day the work is done.

Sales tax can be applied on invoices where it is required. Tax rules for tree work vary by state and locality, and can differ by type of service, so set it up according to your local requirements and check with your accountant if you are unsure.

Photos from the crew app help on the billing side too. When a customer questions an invoice, before and after photos attached to the job show exactly what was done. That settles most disputes in a single message instead of a site visit.

Card on File

For many customers, a card on file is the easiest way to pay. Collect it at estimate approval or at the first job. When the work is done, charge the card and send a receipt. No waiting on checks, no follow-up calls and no awkward conversations with the crew leader about payment on site.

A card on file also makes follow-up work easier. When the stump grinding follow-up or the next pruning visit is complete, it can be charged the same way without asking the customer again.

Auto-Billing Recurring Work

Recurring pruning cycles and PHC programs are ideal for auto-billing. The visit happens, the invoice is created and the card is charged. The office does not have to remember to bill each visit, and the customer does not have to remember to pay.

Over time, as your recurring base grows, auto-billing turns a growing share of revenue into something that happens on its own. That is one of the quiet advantages of building recurring work.

Prepayments, Deposits and Online Payments

For larger jobs, some companies take a prepayment or deposit before scheduling. TreeBossPro supports prepayments, which are applied against invoices when the work is done. That is useful for big removals, for new customers and for customers who want to pay ahead for a season of PHC.

Customers without a card on file can pay online from the invoice or the customer portal. That is faster than mailing a check, and the payment stays tied to the invoice and the job, so the office is not matching checks to jobs at the end of the month.

Check the Gap Every Week

Reports show what was completed, what was billed and what is still unpaid. Compare completed jobs with invoices regularly to make sure nothing is slipping through, and follow up on unpaid invoices while they are still recent. Card on file and auto-billing shrink that list over time.

That weekly check is one of several reports worth reviewing, which is what the next guide covers. See the full set of scheduling and billing tools on the TreeBossPro scheduling software page.
