Cash Flow for Tree Companies: Shortening the Gap Between Cleanup and Payment

Tree companies can be busy and broke at the same time. The schedule is full, crews are working long hours and the bank account is still tight, because the money for last month's work has not arrived yet. Cash flow problems usually come down to one thing: the gap between finishing a job and getting paid for it.

Where the Gap Comes From

In Handling Disputed Tree Invoices Without Losing the Customer we looked at resolving disputes. Disputes are one source of slow payment, but most of the gap comes from ordinary delays.

Trace a typical job: the crew finishes on Tuesday, the foreman tells the office Thursday, the invoice goes out the next Monday, the customer pays two weeks later. That is nearly three weeks for a job that could have been paid on Tuesday. Multiply that across every job and you are carrying weeks of revenue as unpaid invoices.

The gap also hides itself. When you are busy, it feels like money is coming in. Only when you look at outstanding invoices do you see how much is waiting.

Seasonality makes the gap worse. Tree work is busiest in spring and after storms, when costs are highest. If payments lag during those weeks, the strain is felt right when you need cash the most.

Close Out and Invoice the Same Day

The biggest single fix is same-day invoicing. When the crew marks the job complete in the crew app with photos and notes, the office can invoice it that day. Every day you cut from that step is a day of cash you get back.

Make it a daily routine: before the end of the day, every job completed should be invoiced. Use reports to catch any that slipped.

Same-day invoicing also improves accuracy. The details are fresh, the crew notes are clear and nothing has been forgotten.

A simple target helps. Aim for every completed job to have an invoice before the end of the next business day, and track how often you meet it. The habit matters more than any tool.

Move Repeat Customers to Card on File

Card on file is the fastest payment there is. The job is completed, the invoice is created, the card is charged. For PHC programs, pruning cycles and repeat customers, auto-billing removes the payment delay entirely.

Track what share of customers have a card on file and push it up each season. Every customer you move is one fewer invoice to wait on.

Card on file also saves office time, because there is nothing to follow up. The office can focus on the jobs that need attention.

Take Deposits on Big Jobs

Large removals tie up the most money. A deposit at approval brings cash in before the job and reduces the balance you are waiting on after. Prepayments can also work for PHC programs paid at the start of the season, when you are buying product.

Apply deposits and prepayments to the final invoice so the customer sees them credited.

Deposits also reduce risk. If a customer cancels or disputes the job, you already have part of the payment.

Make Paying Easy and Follow Up Automatically

Every invoice should include a way to pay online. The customer app lets customers see invoices and pay from their phone. Automated payment follow-ups by text and email remind anyone who has not paid.

Together, online payment and automatic follow-up shrink the time invoices sit. The office only steps in when automation has not worked.

Two-way texting also helps. Customers can reply to the invoice text with a question, and a quick answer often leads to payment.

Clear invoices also speed up payment. Customers who understand the charges pay faster, and those who are confused wait until they can ask someone.

Review Cash Weekly

Pick a time each week to review invoiced, collected and outstanding amounts. Look for completed jobs not yet invoiced and invoices past 30 days. Fix what you find.

Better cash flow also gives you options. You can take on bigger jobs, buy equipment when you need it and handle slow seasons without stress.

A tree company that invoices the same day, auto-bills repeat customers, takes deposits on big jobs and follows up automatically can cut weeks off its payment cycle. That is cash in the bank instead of in customers' pockets. To see how all of those pieces work together, explore TreeBossPro billing software for tree service companies.
