Scheduling Plant Health Care Visits Alongside Tree Crew Work
Plant health care runs on a different rhythm from crew work. Visits are shorter, usually recurring, often tied to a window in the season and, in many states, handled by someone with an applicator license. Scheduling them alongside removals and pruning takes a little planning. Done well, PHC becomes some of the most predictable, profitable work on your board.
PHC Has Its Own Requirements
In Tree Service Job Categories: Removals, Pruning, Stumps, PHC, Storm and Consults on One Schedule we walked through every category on the board. Plant Health Care deserves a closer look because it carries requirements the others do not: timing windows, licensed applicators where your state requires them, and records of exactly what was applied, where and by whom.
Those requirements are why PHC so often gets scheduled badly. It gets squeezed in around crew work, done late, or recorded after the fact from memory. Treating it as its own program, with its own place on the schedule, fixes most of that.
Build PHC as Recurring Programs
Most PHC is not a single visit. It is a program: a series of treatments through the season or a yearly application. Set it up as recurring jobs on the property so each visit comes due on its own, and automated reminders let the customer know before each one.
When you sell a PHC program, set the whole program up at once. The scheduler then sees the visits coming weeks ahead instead of reacting when someone remembers. Because the property record holds the number of trees, DBH and height, the technician also knows the scale of each visit before arriving.
Assign the Right Person
Licensing requirements for applying pesticides and other products vary by state, and sometimes by the type of product or property. Check your local requirements. On the schedule, assign PHC visits to the person who holds the right license, and record their applicator license number in the system.
A tag on PHC jobs, or simply the Plant Health Care category, makes these visits easy to spot on the job board so they never land on a removal crew by mistake. If you have only one licensed applicator, their days become your PHC capacity, and the board shows when that capacity is full.
Record Applications as You Go
TreeBossPro chemical tracking keeps a list of products with their EPA registration numbers, saved mixes, and per-service application records showing product, rate and amount, along with the applicator license number. The chemical tracking report pulls those records together when you need them.
Recording each application during the visit, rather than reconstructing it at the end of the week, keeps records accurate and saves office time. What records you must keep, and for how long, depends on your state and the products you use, so check the rules that apply to your business.
Tell the Customer What to Do After
Customers often need instructions after a treatment, such as how long to keep kids and pets off a treated area or whether to water. Chemical instruction emails send that information to the customer automatically, so it does not depend on the technician remembering to say it or the customer being home.
Pair that with the normal reminders before the visit and the on-the-way and arrival alerts from the crew app, and the customer always knows what is happening on their property.
Fit PHC Around Crew Work
PHC visits are short and group well. Use the route map to cluster them by area and auto-routing to order the day. Some companies run a dedicated PHC route several days a week; others fit visits around crew jobs on the same side of town. Either works, as long as the board shows PHC clearly and the visits do not drift past their window.
Weather matters for many applications. Product labels often set conditions for wind, rain or temperature, so note those on the job and move visits when conditions are wrong rather than forcing them.
PHC also pairs naturally with crew work. When a crew is pruning or removing trees on a property, they often spot pest or disease issues that call for a PHC consult. A note on the property and a Consults job on the board turns that observation into a scheduled visit instead of a passing comment the customer forgets.
A well-built PHC program is mostly scheduled before the season begins. PHC programs often start with a consult, and the next guide covers how to schedule consults without losing crew days.
