Billing Recurring Plant Health Care Programs Without Chasing Every Visit
A plant health care program can be the steadiest revenue a tree company has. The same customers, the same properties, several visits a year, often for years. But with five or six treatments per customer per season, PHC also creates more invoices than any other part of the business. If each one needs manual billing and follow-up, the office drowns.
Why PHC Billing Gets Heavy
In Deposits and Prepayments for Big Tree Removals we looked at one large payment before one large job. PHC is the opposite pattern: many small payments across many small visits.
A company with a couple hundred PHC customers on a five-visit program is producing a thousand invoices a season. Even a few minutes each adds up to weeks of office time. The answer is to make the program bill itself as much as possible.
PHC also tends to involve customers who never see the crew. Treatments happen while they are at work, and the first sign of a visit may be the charge itself. That makes billing communication even more important than it is for removals.
Set Up the Program as Recurring Jobs
Start by scheduling the program once. In TreeBossPro, recurring jobs handle PHC programs: you set up the visits for the season under the Plant Health Care category, tied to the client and property. They land on the job board when it is time, crews complete them in the crew app and each completed visit is ready to bill.
That removes the most common PHC billing failure — the visit that happened but never got invoiced because it never got scheduled properly in the first place.
Property records help here as well. Each property's trees, DBH and notes tell the technician what to treat and where. When a new technician joins, they can run a PHC route without relearning every property from scratch.
Choose the Billing Pattern
PHC customers usually fit one of three patterns:
- Per visit with card on file. Each completed treatment is auto-billed. The customer sees each visit and invoice in the customer app.
- Prepaid season. The customer pays for the program up front, and each visit is applied against the prepayment.
- Per visit, invoiced. Each completed visit gets an invoice the customer pays online, with payment follow-ups for any that sit.
Most companies offer the first two and use the third only when a customer will not do either. Card on file and prepaid programs remove almost all follow-up work.
Whichever pattern you choose, write it into the program agreement the customer approves. When the billing method is clear from the start, nobody is surprised by the first charge or the first invoice.
Keep Chemical Records With the Visit
PHC billing does not stand alone. Every treatment involves products, rates and target pests. TreeBossPro chemical tracking keeps those records next to the visit. When a customer asks what they paid for in June, the office can see the invoice and what was applied on the same record.
That also helps with renewals. When you show a customer what the program did over the season, it is much easier to sign them up for next year.
Chemical records also protect you when a customer questions results. If a tree declines despite treatment, the record shows what was applied and when. That supports an honest conversation about what the program can and cannot do.
Communicate Before and After Each Visit
PHC customers often do not see the crew. The sprayer comes and goes while they are at work. If the first thing they see is a charge, it can feel random. Automated customer texts and emails fix that: an alert before the visit and a one-tap on-the-way or arrival alert from the crew app tell the customer the visit is happening.
Then the charge or invoice that follows makes sense. The customer knows exactly what it is for.
Two-way texting gives PHC customers a simple way to ask questions about a treatment without calling the office. A quick reply from the office keeps them confident in the program and less likely to question the charge.
Renewals and Program Growth
The real value of smooth PHC billing is retention. Customers who never have to think about paying stay on the program. Customers who get a pile of invoices and reminders start to wonder whether it is worth it.
Programs that bill smoothly also give you better data. You can see which programs renew, which properties are most profitable and where follow-ups are needed. That makes pricing next year's programs a decision based on numbers rather than guesswork.
At the end of the season, look at reports for your PHC category: what was invoiced, what was collected and which customers had trouble paying. Use that to plan renewals and tighten the program.
