Moving Tree Estimates Off Paper Pads and Spreadsheets

A lot of good tree companies still estimate on paper. A carbon-copy pad in the truck, a spreadsheet at home, a pile of texts with customers and a whiteboard in the shop. It works, more or less, until the company grows, a pad gets lost or the owner wants to spend evenings somewhere other than the kitchen table typing up quotes. Moving to software does not have to be a big disruption if you do it in the right order.

Why Paper Holds On

In Adding a Second Estimator to Your Tree Service Without Losing Consistency we covered adding a second estimator, which is often the moment paper stops working. Paper does not share well. Two people cannot look at the same pad, and the office cannot see what was promised in the field.

Paper holds on because it is familiar, fast in the moment and does not need a battery. Those are real advantages. But the costs are hidden: estimates that never get typed up, follow-ups that never happen, approvals lost in text threads and details retyped into invoices with mistakes.

There is also the risk of loss. A pad left on the dashboard in the rain, a phone that breaks or an estimator who leaves the company can take months of customer history with them. Records kept in software stay with the company no matter what happens to any one person or device.

Decide What to Bring Over

You do not need to bring everything. Focus on what is useful going forward: active customers, their properties and anything you know about their trees. Old estimates that were never approved can be kept on paper for reference or re-entered later if you want to follow up.

If you have a spreadsheet of customers, CSV import in TreeBossPro can bring in clients and properties so you are not typing them one by one. Clean the spreadsheet first: remove duplicates, fix addresses and separate clients from properties where a customer owns more than one.

Fill In Tree Details as You Go

You probably do not have DBH and heights for every tree you have ever worked on, and that is fine. Fill in property details as you visit. Each walk-through adds tree counts, DBH, heights and crew notes. Each job adds crew photos and service history.

Within a season, the properties you work on most will have rich records, and the rest will catch up over time. Trying to complete everything before you start is the most common reason software projects stall.

Start With New Estimates

The simplest way to switch is to send every new estimate through the software from a chosen date. Write it with line items, send it for online approval and let automatic follow-up handle the reminders. When it is approved, convert it to a job, schedule it and invoice it from the same record.

Keep existing paper estimates on paper until they close out. Running both for a few weeks is fine; trying to move every open estimate on day one is not necessary.

Set up your standard line items before the first estimate goes out: removal, cleanup options, stump grinding, the common pruning types and plant health care if you offer it. Having them ready makes the first estimates in software just as fast as writing on a pad, and often faster, since nothing has to be typed up again that night.

Bring the Crew Along

Crews will notice the change when job details start arriving on the crew app instead of on a printout. Walk them through it: the job list, the route, notes and gate codes, starting and completing jobs, taking photos, and sending on-the-way alerts to customers.

Most crews pick it up quickly, especially when they realize they no longer have to call the office for gate codes or ask which tree was sold.

Timing the Switch

The easiest time to switch is the slow season, when there is room to learn. But many companies switch mid-season because the pain of paper is worst when it is busy. If that is you, start with new estimates only and add the rest as time allows.
