Moving Tree Crew Dispatch Off the Whiteboard and Group Text
Many tree companies run dispatch the same way: a whiteboard in the shop, a stack of work orders, and a group text where the owner sends addresses at night. It works when there is one crew and everyone knows every customer. It stops working when there are three crews, a stump grinder, a PHC tech, and a dispatcher who was hired last spring.
This article follows Closing Out a Tree Route Stop: Complete, Invoice, Card on File and lays out a practical way to move dispatch off the whiteboard and group text without causing a bad week.
Know What the Whiteboard Is Really Doing
Before switching, notice what the whiteboard and group text actually do. They show which crew has which jobs, in what order. They carry notes like "gate code 4417" or "drop toward the garage." They let the owner change things at the last minute. Any replacement needs to do all of that, and better.
The weaknesses are just as clear. Notes disappear when the board is erased. Group texts get buried. A new employee has no history. Customers do not know when you are coming. Nothing connects to billing.
Start With Clients and Properties
Software dispatch is only as good as the records behind it. TreeBossPro supports CSV import, so you can bring in your client list rather than typing it. Each client can have multiple properties, which matters for customers with a home and rental properties or commercial accounts with several sites.
Then add the details that make dispatch work: crew notes with access, gate codes, and drop zones; the number of trees, DBH, and height; and tags for zones or special conditions. Start with the properties that have upcoming jobs and fill in the rest as crews visit.
Before importing, spend an hour cleaning the list. Merge duplicate customers, fix addresses that are missing a city or zip, and decide how you will handle customers with more than one property. Clean addresses mean accurate pins on the route map, and accurate pins mean auto-routing works the way it should. A messy import shows up later as crews driving to the wrong end of a road.
Ask your crew leads to brain-dump what they know about regular customers: codes, dogs, where to park, which neighbor complains. That knowledge has lived in their heads for years, and now it has a place to go.
Set Up Crews and Categories
Set up your crews as they actually work: each climbing crew, the stump grinder, the PHC tech, and the estimator. Use the built-in job categories: Removals, Trimming & Pruning, Stump Grinding, Plant Health Care, Storm & Emergency, and Consults.
Because you are never billed per user, give everyone who needs it their own access to the crew app. That avoids shared logins and makes it clear who did what.
Run Both for a Short Overlap
Do not flip everything overnight in the middle of a busy week. Pick a slower stretch, enter the next week or two of jobs in the software, and run the whiteboard alongside it briefly. Crews use the app for job lists, routes, notes, and gate codes. The whiteboard stays up as a backup.
Once crews trust the app, take the whiteboard down. Leaving it up too long means two sources of truth, and the board will eventually be wrong.
Replace the Group Text
The group text is the hardest habit to break, because it is easy. Replace each thing it did. Job lists and order come from the route in the app. Notes and codes come from the property record. Customer heads-ups come from one-tap on-the-way and arrival alerts. Customer replies come in through two-way texting to the office.
When every function of the group text has a home, there is no reason to use it for dispatch.
Show Crews What Is In It for Them
Crews adopt tools that make their day easier. Show them that the gate code is in the app, so no more calling the office. Show them the drop zone note from the estimator. Show them that customers move their cars after the on-the-way text. Once they see the benefit, the habit sticks.
