Knowing Your Numbers: The Reports Every Tree Business Owner Should Check
Ask most tree company owners how the business is doing and you will get a feeling, not a number. Busy, slow, good year, tough month. Feelings are not useless, but they are a terrible way to make decisions about hiring, pricing, or buying a new chipper. Owners who know their numbers make better decisions faster. Here are the reports every tree business owner should check, and how often.
Why Most Owners Fly BlindBuilding Recurring Revenue in a Tree Business With Pruning Cycles and PHC Programs talks about measuring how much of your work repeats. That is one number of many. The problem is that in a paper-based business, getting any number takes an evening with a calculator and a stack of tickets. So nobody does it.
When estimates, jobs, invoices, and payments all live in one system, the numbers are already there. You just have to look at them.
Numbers also make conversations easier. When you talk to a crew leader about a job that ran long, or to a customer about why a price went up, having the actual figures in front of you keeps the conversation about facts instead of feelings.
Revenue In and Money Still Out Start with the simplest one: how much work did you complete and invoice this week, this month, and this season? Compare it to the same period last year if you have it. TreeBossPro reports show jobs and revenue so you do not have to add up tickets.
Watch the trend more than any single week. Tree work is seasonal and weather-driven. One rainy week tells you little. Three slow months in a row tells you something.
Then look at what is invoiced but still unpaid. Revenue on paper is not money in the bank. Old unpaid invoices are a sign of a collection problem, a billing delay, or a customer who needs a reminder. Card on file, auto-billing, and online payments help keep this number small, and reports show what is paid and what is still out.
In a tree business, one or two large unpaid removals can make a good month feel tight. Do not let them sit.
Work by Job Category Every job in TreeBossPro has a category: Removals, Trimming & Pruning, Stump Grinding, Plant Health Care, Storm & Emergency, or Consults. That lets you see what mix of work you are actually doing. How much of the month was removals versus pruning? Is stump grinding worth the machine? Is PHC growing?
The mix matters because different work has different margins, equipment needs, and crew demands. The next article in this series goes deeper on reading your business by category.
Estimates Sent Versus Won Look at how many estimates went out and how many were approved. If you are sending lots of estimates and winning few, the problem might be pricing, follow-up speed, or the type of leads you are getting. If you win almost everything, your prices may be too low.
Online approval and automatic follow-up tend to raise the win rate simply because fewer bids get forgotten. Track it so you can see the effect.
Check how long estimates take to go out after the visit, too. If the gap is growing during busy weeks, that delay may be quietly costing you jobs.
Crew Hours and Time on Site Employee time tracking records crew hours. Compare hours to the work completed. Are some jobs consistently taking longer than estimated? Is one crew much faster on the same type of work? Are there days with a lot of hours and little completed work?
These questions lead to better estimates, better scheduling, and sometimes to coaching conversations. You cannot have them without the data.
Share some of what you learn with crew leaders. When they see how long their jobs take compared to the estimate, many start planning tighter on their own.
Make It a Habit, Not a Project None of this helps if you only look once a year. Pick a regular time, maybe Monday morning or Friday afternoon, and check the same handful of reports every week. Write down the key numbers so you can see trends over time.
