Customer Texts Before and After a PHC Visit

A spray truck pulling into a driveway unannounced makes people nervous. A text the night before and a note when the crew is on the way makes the same visit feel professional. PHC customers in particular want to know when you are coming and what you did, because the work involves products they cannot see and may have questions about.

Why Communication Matters More in PHC

The PHC Applicator's Day in the Crew Mobile App walked through the applicator's day. Every step of that day can send the customer something useful. PHC customers often have pets, children, vegetable gardens or neighbors with opinions. They want warning so they can prepare, and information afterward so they know what to do.

Good communication also protects the program. Customers who feel informed renew. Customers who feel surprised cancel.

Communication is also how customers understand the value of a service they rarely see. Every message is a reminder that the program is active and that someone is taking care of their trees.

Before the Visit

Automated texts and emails in TreeBossPro can remind customers of an upcoming visit. For PHC, a reminder gives them time to bring pets in, move vehicles, close windows or ask questions before the work. Customers can choose which alerts they receive through the customer app, so they get what is useful to them.

The crew app adds a one-tap on-the-way alert, so the customer knows the truck is coming shortly.

Keep reminders specific. Saying which round is coming, like the spring treatment, is more useful than a generic service reminder. It reminds the customer what they are paying for.

During the Visit

An arrival alert tells the customer the crew is on site. On service day, the customer app can show a live crew map, which answers the "when will they get here" question without a phone call.

Customers home during the visit appreciate knowing who is at the door. Applicators appreciate not being surprised by a customer who did not expect them.

For commercial properties, arrival alerts can go to a site contact, like a facilities manager, who may need to clear a parking area or warn staff. Make sure the right contact is on the property record.

After the Visit

After completion, the chemical instruction email tells the customer what was applied and any instructions you want them to follow, like keeping pets off treated areas for a period or watering after a soil application, as the label directs. This is the most important message in the sequence.

If you invoice per round, the invoice follows, with online payment through the portal. If they are on auto-billing, the card on file is charged and a receipt goes out.

If a stop could not be completed, for example because of a locked gate or a customer request, the customer should hear about it the same day along with what happens next. Silence after a missed visit invites a cancellation.

For customers with multiple properties, make sure each property's messages go to the right contact. A landlord may want the invoice while the tenant needs the reminder and the instructions.

Two-Way Conversations

Some customers will reply. Two-way texting lets your office answer quickly from the same system that holds the property's application history. A customer asking whether it is safe to let the dog out gets an answer in minutes, based on the actual record.

Fast, accurate answers are part of what customers pay for in a PHC program.

Track the questions that come in. If many customers ask the same thing after a particular round, update that round's instruction email so it answers the question up front.

Keeping It Professional

Keep messages short, friendly and consistent. Use your company name, identify the round, and avoid jargon. Respect customer preferences about which alerts they want. Notification requirements for certain applications vary by state and province; check with your state's regulatory agency rather than assuming your customer texts satisfy them.

Customer communication is one of the core tools in TreeBossPro plant health care software. Next: the customer portal for visits, invoices and payments.

Review your message templates once a season. Read them as a customer would. Are they clear? Are they too long? Do they still match your program? Small edits make a noticeable difference in how professional your company feels.

Watch replies for patterns too. If customers keep replying to a reminder to ask the same question, the reminder is missing information.
