From Consult to Program: How PHC Consults Turn Into Recurring Work

A PHC consult is a sales visit dressed as an inspection, and that is a good thing. The customer gets expert eyes on their trees. You get the information to build a program and the chance to earn their trust. Done well, a consult turns into a program that renews for years. Done poorly, it turns into a free inspection and a forgotten estimate.

What a Good Consult Looks Like

Turning Pruning and Removal Visits Into PHC Program Sign-Ups showed how leads come in from crews. Many of those leads become consults. A good consult walks the property with the customer when possible, looks at every significant tree, explains what you see in plain language and sets expectations about what can and cannot be fixed.

Customers remember how you treated their questions more than which pest you named. Listen first.

Bring the right expectations. A consult is not a promise to treat everything. Sometimes the best advice is to wait and watch, or to remove a tree that is beyond help. Honest recommendations are what make a customer trust the program you do propose.

Recording on Site

Record what you find on the property record: number of trees, DBH in inches, tree height in feet, and notes on specific problems. Take photos. Add tags for problems you may want to find later, like a specific pest. Add custom fields if your program needs them.

This information drives the estimate and stays on the property for every future visit.

Record the trees you looked at but did not recommend treating, along with why. When the customer calls next year about a tree you already examined, the history is there.

Building the Estimate

Build the estimate soon after the consult, ideally the same day. Structure it as a program with rounds, plus any targeted treatments. Price it from the property data so it is consistent. Send it with online approval so the customer can say yes as soon as they are ready.

If you discussed options, show them clearly, like a basic program and a fuller one. Let the customer choose.

Keep the estimate readable. One page that explains the rounds, the price and what to expect beats a long technical document the customer will not finish.

If a specific tree is driving the recommendation, name it and include the photo. Customers connect with their own trees, not with generic program descriptions.

Consider including a short note on what happens if the customer does nothing. Not as a scare tactic, but as honest context: some problems progress, some stabilize, and the customer deserves to know which kind they have.

Following Up

Automatic follow-up reminds customers who have not responded. Add a personal touch for higher-value programs: a short text through two-way texting asking if they have questions.

Timing matters. If a treatment window is approaching, say so. Customers respond to real deadlines, not invented ones.

For customers who decline, a short note on the property about why can be useful later. Price, timing, wanting to wait, preferring to remove the tree: each tells you something, and the customer may come back.

Tracking Conversion

Consults have their own job category in TreeBossPro, so you can see how many consults you ran and compare that to programs sold. Conversion rate is one of the most useful numbers in a PHC business. Low conversion may mean pricing, presentation or follow-up issues.

Some companies charge for consults and credit the fee toward the program. Whatever you do, track it.

If consults are booked by different people, compare conversion by person. Differences usually come down to presentation and follow-up, both of which can be taught.

From Approval to First Round

Once approved, set up the program as recurring jobs immediately. Collect a card on file for auto-billing or take a prepayment. Schedule the first round. A program that is approved but not scheduled is a customer waiting to be disappointed.

The consult-to-program path is a core workflow in plant health care software. Next: PHC property notes for gates, pets, irrigation and sensitive areas.

Send a short welcome message once the program is set up, explaining what happens next: when the first round is expected, what alerts they will receive and how to reach your office. First impressions shape renewals.

After the first round, check in briefly. A customer who feels looked after in the first month is far more likely to still be on the program in five years.
