Choosing Arborist Software: An Honest Buyer's Checklist
Choosing software is a commitment. Your client records, schedule and billing will live in it, and switching later is painful. Arborists have needs that generic field service tools do not always meet, and needs that removal-focused tree service tools sometimes miss. A clear checklist helps you evaluate options on what matters to your practice.
This is the final article in the series that began with the complete guide and most recently covered Reports for Arborists: Reading the Numbers Behind Your Practice. Here we bring it together into a checklist you can use with any product, including TreeBossPro.
Property Records That Fit Tree Care
Start with the core record. Can each client have multiple properties? Does each property hold tree details — tree count, DBH, height — plus notes for access, gate codes and drop zones, custom fields, tags, service history and photos from the field? TreeBossPro does all of this at the property level.
Be clear about what you need beyond that. If your practice requires a per-tree inventory with a map of every individual tree, or formal arborist report generation, or risk assessment forms, TreeBossPro does not provide those. Some practices use a separate tool for formal reports and inventories alongside their operations software. Decide which matters most to your daily work.
Ask every vendor the same question directly: what does this product not do? A clear, honest answer is a good sign about how the company will treat you after you sign up.
Consults, Estimates and Follow-Up
Can you book consults as their own category? Can you send estimates from the property record, with online approval and automatic follow-up? Do approved estimates move straight to scheduling? These are the steps where arborist revenue is won or lost, so test them during a trial with real consults.
Pay attention to how many clicks it takes. If sending an estimate after a consult takes fifteen minutes of retyping, it will not happen on busy days. The right software makes the same-day estimate the easy path.
Recurring Care and PHC
Can you set pruning cycles and PHC programs as recurring jobs on the property? For PHC, does the software track products with EPA registration numbers, mixes, per-service application records with product, rate and amount, and applicator license numbers? Is there a chemical tracking report, and can you send chemical instruction emails to customers? Requirements vary locally, so confirm the software captures what your jurisdiction expects.
Also check how recurring jobs behave when things change: a visit is skipped, a client pauses, a tree is removed. Real practices change their schedules constantly, and recurring care software has to handle that without a mess.
Crews and Clients
Does the crew app show the job list, route, notes and gate codes, let crews start and complete jobs, add photos and send one-tap on-the-way and arrival alerts? Is there a route map with auto-routing? On the client side, is there an app or portal where clients see visits, view and pay invoices, keep a card on file, choose alerts and see a live crew map on service day? Do automated texts, emails and two-way texting keep conversations on the record?
Get your crew leaders to try the crew app during the trial. If they find it awkward, they will not use it, and records will not get updated from the field. Their opinion matters as much as the office's.
Billing, Reports and Getting Started
Look at invoicing, card on file, auto-billing, online payments, prepayments and sales tax. Check what reports are available. Ask how you will get your existing clients in — CSV import is the practical answer for most practices.
Consider support and onboarding as well. How quickly can you get answers when something is unclear? Is there guidance for setting up your first recurring jobs and importing your list? The first month sets the tone for how well the software fits your practice.
Pricing and the Trial
Finally, look at the cost and how it scales. Per-user pricing can punish you for adding office staff and crew members. TreeBossPro plans are Start at $59/month, Pro at $89/month and Crew at $199/month, and you are never billed per user. Every plan starts with a 14-day free trial with no credit card required.
Use the trial properly: import a slice of your clients, run real consults, send a few estimates, set up a pruning cycle and a PHC program, and have a crew use the app for a week. You will learn more in two weeks of real use than from any feature list.
