Photo Records for Arborists: Building a Visual History of Every Property

Arborists are visual people. A photo of a cracked union, a cavity at the base or a dieback pattern in the upper crown says more than a paragraph. The trouble is where those photos end up: scattered across personal phones, buried in text threads, lost when someone upgrades.

Arborist Site Notes: Access, Gate Codes, Drop Zones and Targets covered written site notes. This article is about the pictures that go with them.

Attach Photos to the Property, Not the Phone

It also solves a quieter problem: ownership of the documentation. Photos on an employee's personal phone leave with the employee. Photos on the property record stay with the practice, which matters when you need to answer a client question years later or when you are bringing a new arborist up to speed on a long-time account.

In TreeBossPro, photos taken in the crew app attach back to the property record. That one change fixes most photo problems. When you open the property next year, the pictures are there with the service history, notes and tree measurements. When a different arborist or crew leader visits, they can see what you saw.

What to Photograph on a Consult

Not every leaf needs a picture. Focus on the things that support a recommendation or that you will want to compare later:

Take a wide shot first, then the detail. A close-up of bark without context is hard to interpret six months later.

For defects, include something for scale where you can: a hand, a tape, a hard hat. A crack that looks alarming in a close-up may be a few inches long; one that looks minor may run several feet. Scale helps the next reader and helps the client understand what you are describing.

Before and After

Before-and-after photos of pruning work are valuable for three reasons. They show the client what they paid for. They give you a record of how much was removed and how the crown was left. And they become the baseline for the next pruning cycle, when you can see how the tree responded. Ask crews to shoot from the same spot before starting and after cleanup.

After photos also protect you. If a client later says a limb was not removed or that the cleanup was incomplete, a dated photo on the property record settles the question quickly and politely.

Photos That Support Estimates

When you send an estimate, the client is looking at a number and a description. Being able to point to the photo of the defect you discussed makes the recommendation concrete. Even if the photo is not in the estimate itself, having it on file means you can reference it in a follow-up text or conversation.

Photos help internally as well. An estimator reviewing a consult from another arborist can look at the defect photos and the access photos and understand the scope before signing off on the price. The crew leader assigned to the job can look at the same photos on the crew app and plan the work.

Photos Over Time

The real power of photo records shows up across years. A photo of a canopy taken each time a PHC visit happens builds a visual timeline of the tree's condition. A sequence of pictures of a cavity tells you whether it is stable. Paired with updated DBH and height, photos turn your property record into a long-term view of the trees.

To make that timeline useful, try to photograph the same tree from roughly the same angle each visit. A note in the property record describing the standard photo position — from the end of the driveway, looking north — is enough to keep the series consistent across different crew members.

Know What Photos Are and Are Not

Photos on the property record are documentation for your practice and your clients. TreeBossPro attaches and stores them; it does not mark them up, annotate them or produce them as a formal report. If a client, insurer or municipality needs a written report, prepare it separately and use your photo record as the source.

Building a visual history is one of the simplest wins in arborist software: the photos you were already taking finally live in the right place.

Every Photo, On the Right Property

Photos taken in the TreeBossPro crew app attach to the property record so the visual history stays with the trees.
